How we set it up

The migration part is where most self-setups go wrong

Zoho Mail itself is straightforward. The tricky parts are DNS configuration, email history migration, and the cutover window — and those are the parts we handle. A misconfigured SPF record or a rushed MX cutover can mean days of missed emails. We've done enough of these to know what to check before flipping the switch.

Verify your domain and update DNS records

Before anything migrates, we verify that you own the domain and configure the MX records that tell the internet where to deliver your mail. We also set SPF, DKIM, and DMARC at this stage — not as an afterthought. These three records are what separates email that gets delivered from email that lands in spam.

Create mailboxes, groups, and aliases

We set up each user's mailbox, configure shared group inboxes (sales@, support@, etc.), and add any aliases your team uses. User roles and permissions get set here too — who can access whose mailbox, who has admin rights, and who gets read-only access to shared inboxes.

Migrate existing email without downtime

Old emails from Gmail, Google Workspace, cPanel, or any IMAP source can be pulled into Zoho Mail using Zoho's migration tool. We do this before DNS cutover so users land in their new mailbox with history already there. The switch itself typically takes under an hour.

Do we have to migrate all our old emails? We have years of history.expand_more
You don't have to, but you can. Zoho Mail's migration tool pulls from Gmail, Google Workspace, or any IMAP source. We typically migrate the last 1–2 years and archive older mail in a separate folder. If you have a regulatory reason to keep everything searchable, we can migrate the full history — it just takes longer. Most businesses go with the selective approach.

It depends on how deep you are in the Google ecosystem. If your team lives in Google Docs and Sheets, switching email alone probably isn't worth the disruption. But if you're mainly using email and don't rely heavily on Drive, Zoho Mail is typically cheaper per user per month for the same storage and admin features. What's SPF, DKIM, and DMARC? Do we really need all three?expand_more
Yes, and here's the short version: SPF tells receiving servers which mail servers are allowed to send on behalf of your domain. DKIM adds a cryptographic signature so the receiver can verify the email wasn't tampered with. DMARC tells receiving servers what to do if either check fails — reject it, quarantine it, or let it through. Without all three, your emails are more likely to land in spam, and your domain can be spoofed by phishing attacks. We configure all three as a standard part of every setup.
Will there be downtime during the switch?expand_more
The migration itself — importing old emails — happens in the background with no downtime. The brief outage window is the DNS cutover, where we change the MX records that point incoming email to Zoho's servers. That propagates within minutes for most domains, and during that window, email is queued by senders, not lost. In practice, most businesses don't notice any gap. We time the cutover for evenings or weekends when it matters less.

You have a few options: archive the mailbox (keeps all their history accessible to admins), set an auto-reply and forward to someone else, or convert it to a shared mailbox that multiple people can access.
